Where can I learn about MBL Conference Policies?

Prior to your arrival please read and review the attached policies.  You will be required to sign and acknowledge receipt of these policies prior to participating in the meeting. You can either print the last page of this document and bring it with you or we will have physical copies at the Swope Front Desk for your convenience.

Where can I learn about MBL Covid Policies and Information?

Before Arriving on Campus

In order to access the MBL campus, each member of our community is required to complete the MBL’s vaccination registry and COVID-19 acknowledgement and attestation.

Training, Acknowledgement and Attestation Regarding COVID-19

Anyone accessing the MBL campus (students, faculty, visiting researchers, postdoctoral researchers, campus visitors, and staff) are required to complete the MBL’s vaccination registry and COVID-19 safety acknowledgement and attestation.

The registry and attestation is included in the registration and decision reply forms for all  MBL course participants, visiting, scientists, and any other campus visitors  The COVID-19 Safety Acknowledgment and Attestation must be completed at least 48 hours prior to arrival.

The attestation must be completed as an online form, but for reference we have posted the PDF of the attestation on this page. The attestation affirms that the signer will comply with safety precautions, including:

  • Completion of vaccination registry
  • Mask requirements
  • Daily health screening
  • Testing, Contact Tracing, Quarantine, and Isolation
  • Accessing MBL Facilities
  • Campus visitors and guests
  • Ongoing Commitment, Inherent Risk and Non-Compliance

Can I bring family or friends?

Yes you can bring family or friends, however you are lodging at MBL they would also need to register and pay for lodging. Contact conferences@mbl.edu.

What do I do if I require travel visa assistance?

At this time the MBL is not assisting with international travel visas.

What if I must cancel my conference registration?

All meetings have a cancellation date, (3 weeks prior to arrival) after which time no refunds are issued. If you have to cancel after registering, send an email to conferences@mbl.edu for processing.

Where do I check in for the meeting?

All meetings check in at the MBL Swope Center, 5 North Street in Woods Hole. (#15 on the map below)

The Front Desk will provide your event ID badge, parking permit and event information. Housing Check-in is after 2:00pm on the date of your scheduled arrival.

The Front Desk is usually open 8am – 5pm on arrival day. After 5pm, the MBL Security can be called for housing check in.

We have a limited number of conference parking spaces in our Bar Neck Lot (#19 on the map on this page). Permits are available at the Swope Front Desk, parking on other MBL lots or without a permit is not allowed.

What’s the weather like in Woods Hole?

Woods Hole is a seaside village, and the weather can vary widely day to day (even hour to hour). You can expect temperatures to typically be a few degrees cooler than inland. What can I expect my housing to look like?

Housing is dormitory style and may be reserved as doubles or singles. Each room is equipped with two twin beds, night stands, a desk, lamps, wardrobes, and depending on your specific accommodations either an en suite bath or shared baths. What are the rules for poster display?

For your poster display we have facilities for up to 65 posters, 42” x 60” portrait size. Details will come from the conference organizers on numbering and display times.

What if I have a special dietary request?

Our Dining Services Team is happy to assist you with any and all dietary needs, restrictions and/or allergy. Our registration pages include a place for you to list out your requests, but if you have additional concerns or would like to talk to someone in more detail please feel free to reach out to conferences@mbl.edu.
